We are pleased to present you with this Summer 2002 edition of "Rob's Report," Schron Associates' quarterly e-mail newsletter of issues, events and offers we think may be of interest to you. In this issue, we explain many of the ways we save money for our clients by negotiating on their behalf to reduce or even eliminate hidden hotel and food & beverage charges that can quickly add up. Also, we celebrate the return of Concorde service between New York, London and Paris and show you how, with enough frequent flier mileage, experiencing this transatlantic time machine is more within reach than you might think. Getting back down to earth, we then discuss our recent trip to the European Incentive, Business Travel & Meetings tradeshow, where we exhibited as part of the official New York City delegation. While we continue to offer our resort, cruise, and international meeting and incentive programs, we feel that now more than ever, we want to put the spotlight on our hometown of NYC and show the world what it has to offer. New York City is open for business, and more affordable than you might think. Lastly, we offer you our new sample programs, developed to highlight exciting NYC and other popular destinations as well. 1. Schron Associates Saves You Money: Eliminating Hidden Charges

Did you know that there are many hidden costs and additional charges that arise when planning a meeting, event, or incentive trip? Did you know that when Schron Associates negotiates on behalf of a client, we can often get many of them reduced or even eliminated? One of the many services we offer our clients is our decades of experience negotiating with suppliers, such as hotels, restaurants, conference centers, cruise lines etc. We make sure our clients get the best possible value for their money and ensure that they don't pay for something they shouldn't have to. For example

: -You may not have to pay for meeting space: If your group is occupying enough hotel rooms for your event and you're having at least one food and beverage event onsite, you shouldn't have to pay for a function room - a cost that can run as high as $1,000 a day! Whenever possible, we insist that our suppliers waive all meeting room costs for our client when we go to contract.

-You may not have to pay cancellation fees: Don't like to pay for something you're not going to use, especially if you know it can easily be resold? Neither do we! We feel it's reasonable for a hotel to charge a fee when a room is cancelled within 48 hours of an event but not any earlier, and we feel a fee of one night only should be sufficient, not for the length of the meeting.

-You may not have to pay for drinks that weren't drunk: You shouldn't have to pay for pre-paid open bar packages for 100 people if only 85 are actually present. While we'll agree to pay a supplier for the cost of food ordered in advance, we draw the line when it comes to beverage service for "no shows." Experience tells us that, for events of longer than an hour, it's usually more cost-effective to purchase drinks on a consumption basis anyway.

-You may not have to tip twice: Prepaid means prepaid. Especially when it comes to bartenders, coat check, parking attendants etc., we believe that if gratuities have been prepaid by the host, additional tips should not be solicited. While we don't discourage our clients or their guests from rewarding individual acts of excellent service, the presence of a tip cup on a bar or at the coat check stand may give your guests the impression that no gratuity has been prepaid, and they may feel obligated to leave something they shouldn't have to. In our 20 years in business, we've had countless tip cups removed for this reason!

Add up all the cost factors, and what we can save you by negotiating on your behalf is substantial. In fact, you may find that, when you add in the value of our personal oversight and attention to detail, our services pay for themselves!

2. Getting there in no time: Concorde is back

In this era of long lines and waits at the airport, there's nothing like arriving at your destination over an hour before you left. And if you're heading to New York on Concorde, which returned to the skies this spring after some major safety and comfort enhancements, you can truly say, "I got there in no time." That's because Concorde, operated by British Airways and Air France, takes just under four hours to cross the Atlantic. Going westbound, given the time difference, passengers arrive over an hour before they left, at least in local time. Concorde's morning departure allows you to start your day in London or Paris, and still be in New York in time for a late morning meeting, as we recently discovered. Going eastbound? Concorde departs New York's Kennedy Airport in the morning for London-Heathrow and Paris-Charles de Gaulle, and arrives in late afternoon, in time to make it to a business dinner. A roundtrip ticket on Concorde can easily cost over $10,000, but one need not be a celebrity or CEO to fly it. Concorde is best experienced the way we did, on frequent flier mileage tickets (for details, see below). Just remember that while Concorde can whisk you across the Atlantic in under four hours, sadly, the rush hour taxi ride between JFK and Manhattan is still almost two hours! Note: it takes 125,000 Executive Club miles on British Airways and 160,000 Fréquence Plus miles on Air France to fly Concorde roundtrip between JFK and London and Paris, respectively; mileage on some US carriers can be used towards award travel with both these airlines and if you've accumulated frequent flyer miles with one of their alliance or codeshare partners, you may be able to enjoy supersonic travel, too.

3. Schron Associates Represents New York City at Major European Tradeshow

In May, we were pleased to have the honor of helping represent New York City at the European Incentive, Business Travel and Meetings (EIBTM) show in Geneva. As part of the official delegation from NYC & Company, New York City's convention and visitors bureau, we worked alongside other members from such institutions as the Waldorf-Astoria Hotel and Delta Airlines to spread the word that New York City is open for business and more affordable than many may think. At the official NYC booth, which featured a replica of the Brooklyn Bridge and the Statue of Liberty, we had an opportunity to meet and talk with many travel and event planners and marketing executives from major European corporations, and we are confident that this will result in future business, not only for those of us who exhibited, but perhaps more importantly, for the economy of New York City.
